Copy any of these, swap in your details, and read it slowly. Each one takes 10 to 20 seconds to say.

• General business line: “Hi, you’ve reached Rosewood Manor. We can’t take your call right now. Please leave your name, number and a quick note about what you need, and we’ll call you back as soon as we can.”
• Professional: “Thank you for calling Harbor Dental. Our team is with patients at the moment. Please leave your name, phone number and the reason for your call, and we’ll return it today during office hours.”
• After hours: “Thanks for calling Summit Roofing. Our office is closed for the day. We’re open Monday to Friday, 8 to 5. Leave your name, number and address, and we’ll call you back the next business day.”
• Busy, on another call: “You’ve reached Bloom Med Spa. We’re helping another client right now. Leave a message with your name and number and we’ll call you back shortly.”
• Holiday closure: “Thanks for calling The Oak Room. We’re closed for the holiday and back on Monday, January 5. Leave a message and we’ll return your call when we reopen. Happy holidays.”
• Personal work cell: “Hi, this is Sam at Rosewood Manor. I’m away from my phone. Leave your name, number and a short message and I’ll get back to you today.”
• Brief: “You’ve reached Green Leaf Catering. Leave your name and number and we’ll call you back.”
• Text us option: “Thanks for calling Northside Plumbing. We missed your call, but you can text this number and we’ll reply faster. Or leave a message after the tone.”
• Website option: “You’ve reached Lakeview Events. For prices and open dates, visit lakeview events dot com. Or leave your name and number and we’ll call you back.”
• Law office: “Thank you for calling Reed and Park Law. We’re unable to take your call. Please leave your name, number and a brief description of your matter, and we’ll return your call. Please don’t leave confidential details in this message.”

• Who they reached: your business name, and your own name on a personal line.
• What to leave: name, number and a short reason for the call, so you can call back ready to help.
• When to expect a call back, in words you can keep. “By the next business day” beats a promise you might miss.
• One faster option if you have it: a website, a booking link or “text this number”.
• Under 30 seconds. Long greetings test a caller’s patience before they even get to the tone.

• iPhone: open the Phone app. In the unified layout, tap Calls, tap Edit, then tap Edit Voicemail Greeting. In the classic layout, tap Voicemail, then Greeting. Tap Custom, then Record. Some carriers don’t support recording here; if you don’t see it, call your voicemail instead.
• Android: open the Phone app, go to the dialpad and touch and hold 1 to call your voicemail. Follow the menu to the greetings option (menus differ by carrier). If your phone shows visual voicemail, look for the greeting under the Phone app’s voicemail settings.
• Google Voice: on voice.google.com, open Settings, then Voicemail, then Record a greeting. You can keep up to 10 greetings and pick the active one.
• Business phone systems: systems like RingCentral let you upload a WAV or MP3 file as your greeting. That’s where the MP3 from this tool fits best.
• Desk phones: press the voicemail or Messages button, enter your PIN, and look for personal options or greetings. Menus differ by system.
• Recording tips: use a quiet room, hold the phone a hand’s width away, smile while you talk, and listen back before you save.

• The carrier default that reads your number back. Callers aren’t sure they reached the right business.
• A full mailbox. Clear old messages every week, or new callers can’t leave one.
• A greeting that’s out of date, like last month’s holiday hours.
• Promising a callback in 10 minutes and taking a day. A soft, honest promise works better.
• Relying on voicemail for new leads. In weddings, up to 50% of bookings go to the first vendor to respond (WeddingPro). A caller who reaches voicemail can simply call the next business.
